Event itinerary

Below is some important information and a more detailed itinerary:

1. Non-running guests

  • We love to welcome non-running guests and it’s important to us that they feel fully involved and supported, and have a great time.

  • Our strong preference is to have non-running guests join for the full 7 days.

  • This maximises their experience and helps us to deliver an exceptional guest experience for everyone.

  • Based on previous experience and given the tight schedule around race set-up, logistics and safety briefings, we find late arrivals can create challenges on both sides.

  • That said we understand how important it is to welcome everyone and will do our best to facilitate late arrivals

  • The all-inclusive rate (as per the 7-day itinerary) is US$1350 (shared room) or US$1950 private room.

2. Equipment checklist:

  • Head torch (with battery for up to 14 hours) - non-optional

  • Back-light (with battery for up to 14 hours) - non-optional

  • 2 drop bags for the halfway line & finish line (optional) - some runners bring a change of clothes, shoes and a wind cheater in case of wind and rain)

  • Please being and carry any specific gels or powders you want to guarantee access to

  • Phone charger & cable - non-optional

  • Runner’s backpack

  • Unless you have an international data package or Esim please buy a local sim with data for 2 weeks on arrival at the airport.

  • This is straightforward and should cost no more than US$10.

  • NB - please consider how much luggage to bring. From experience most of the team might bring too much :)


2. Pre-arrival notes

  • We will ask for a scan of your passport photo page in March. We require this for registration with the local police and to facilitate fast check-in at our team hotels

  • You can secure a ‘Visa On Arrival’ online or at Bali airport for approximately US$25-US$30

  • Please ensure your travel insurance covers adventure sport for the dates 23/24 May.

  • NB Please check online for any new visa requirements

  • We may be offered a special rate at The Alila to extend your stay there either side of the event. We will let you know as soon as we do.

  • There are countless good hotel options for before and after the event depending on your budget. Ask for ideas on the WA group otherwise we recommend booking.com

  • We have a very experienced event safety & medical director who is available to support runners and non-runners across the week.


4. Arrival in Bali

  • Our Guest Support Team will have your arrival time and Whatsapp.

  • They will be in touch on WhatsApp before you take off.

  • They will check your flight arrival time and one of our Driver Team will collect you at the airport.

  • They will then drop you at your requested location in Bali (even if you are arriving before 20th May.)

Our 7 Day Itinerary

Day 1 Wednesday 20th May - Welcome

3:00pm: Check-in opens at The Alila Seminyak / Google map link

4:30pm: Our welcome reception starts at 4:30/5:00pm at beach front of The Alila and will finish after dinner at 8:30pm.


Day 2 Thursday 21st May - Impact day

8:00am: Our transport will depart The Alila at 815am so please be at the lobby ready to go at 8:00am.

Please label and leave excess luggage at The Alila and hand these to the concierge.

Please separately label and leave luggage you will need at The Lovina and this will be driven to The Lovina for you and be waiting for you in your room.

10:30am: We will stop for coffee at The Homm Saranam (Google map link) before heading to the schools your have fundraised for

11:45am-1:30pm: BCF school & community visit

1:30 - 2:00pm: We will then be driven to The Lovina Bali Resort for lunch.

2:00 - 3:00pm: Team Lunch

Your bags will be transported separately to The Lovina and be waiting for you.

Thursday afternoon is free.

5:00pm: Team briefing

6:00pm: Crew briefing

7:00pm: Team dinner


Day 3 Friday 23rd May - Team Day

Friday is scheduled as a free day, to enjoy The Lovina and relax.

12:30-2:00pm - Team lunch

4:00pm - Crew briefing for Friday arrivals

4:30pm - Team meeting (for runners only)

7:15pm - Team dinner


Day 4 Saturday 24th May - Race Day

11:00am - Bike crew briefing

12:30-2:00pm - Team lunch

2:00pm - Checkout

We do have extended check out on some of the larger rooms so runners have a place to rest.

Please leave labelled drop bags and labelled luggage for The Alila at The Lovina reception by 3:30pm.

These will be collected and taken to the appropriate location.

3:30pm - Blessing ceremony for runners

2:00-4:00pm - Support cars are loaded and prepared

5:30pm - Start time for group 1

7:30pm - Start time for group 2

9:30pm - Start time for group 3


Day 5 Sunday 25th May - Finish line

5:00am - Runners will finish at Mnggu Beach between 5am and 10am.

10:30am - Following a finish line celebration we will drive runners and non-running guests to The Alila.

We have early check-in.

Your bags will have been transported from The Lovina and be waiting for you.

There will be credit on your room account for lunch & dinner.


Day 6 Monday 26th May - Closing Party

7:00-10:00am Breakfast

9:30am - 1:00pm Runner interviews - We are always keen to record interviews at The Alila

We like to record interview runners at The Alila between 9:30am and 1pm if you’d like to record your experience.

The Alila is a great place to relax.

5:00pm - Closing party opens at Villa Bengawan / Google Map link

Dinner, DJ, Drinks, Closing ceremony

10:00pm

Runners and guests are asked to arrange bike or taxi transport there.

Taxis will arrive at Villa Bengawan from 9:45pm to take you to any after-party venues or back to The Alila.


Day 7 Tuesday 27th May - Event close
